About Us: The Division of Graduate Education & Postdoctoral Affairs (GEPA) upholds the ideals of a student and scholar centered campus and aims to be the main resource for all matters related to graduate education and postdoctoral affairs. We help students and scholars advance in their academic disciplines and empower them to prepare for career success by offering innovative professional development programs and working closely with campus partners. GEPA is organized into several units, including Admissions, Academic Affairs, Financial Support, Student Affairs, Postdoctoral Affairs, and the Dean’s Office.
Job Duties: GEPA is recruiting up to three (3) undergraduate student assistants to help with in-person administrative work across all units, including but not limited to:
● supporting in-person front desk operations by greeting guests upon arrival, answering the phone, and directing guests to appropriate staff members as needed
● assisting GEPA staff at in-person and virtual events and meetings, such as New Student Orientation, Grad SLAM, Commencement, grAdvantage collaboration programs, and others events, by creating flyers/programs, monitoring Zoom rooms/check-in tables, recording/editing online events, and posting event recordings to YouTube
● engaging with social media accounts, updating web pages, creating on-brand promotional graphics/slides/flyers, and sourcing and/or writing weekly news stories featuring graduate student and alumni accomplishments
● filming and editing promotional videos and program webinar recordings
● drafting correspondence to prospective/current students, as well as staff/faculty/alumni
● organizing online academic files and records, updating databases, sending surveys, and assigning/responding to customer tickets in the ServiceNow system
● researching best practices and contributing new ideas for process improvements
● supporting special projects for the Dean’s Office and other units as assigned
● other tasks scoped specifically for intentional student growth and learning
Qualifications: We seek student applicants with strong communication skills (written and verbal), keen attention to detail, dependability/timeliness, video recording/editing skills, familiarity with social media platforms, and eagerness to learn new tasks, desire to collaborate on a team, ability to work with confidential information, and a commitment to enhancing the graduate student and postdoc experience. Prior success in customer service roles is desired.
Supervision: Under direct supervision by the Assistant Dean of Graduate Strategic Initiatives, student assistants will partner with and receive work direction from GEPA leadership, staff, graduate interns, and other student workers to help achieve our collective goals.
Benefit to Student Learning: Student assistants will develop strong customer service and office administration skills, gain a deeper understanding of graduate education, refine communication and writing skills, become familiar with website editing and social media platforms, and be exposed to the field of student affairs. Each assistant will work with their supervisor to develop a Professional Development Plan to clearly outline goals and learning objectives.
Hourly Wage: $16.90 per hour
Hours Per Week: 10-20 hours per week during Summer 2023, with possibility to continue in Fall 2023 and beyond based upon strong performance, scheduling availability, and ongoing funding. Monday-Thursday hours are in-person in the office, with optional remote hours on Fridays.
Student Status: Must be a currently enrolled undergraduate student at UC San Diego for Spring 2023 and/or Fall 2023.
